Where it usually goes wrong

Three decisions that cost small businesses more than they should

Most of the damage is done before anyone opens a laptop. A tool bought for the wrong reason. A file structure nobody can navigate. A network that works in the office and fails in the meeting room. Each of these looks like a small decision on its own.

The stack nobody chose

Software picked because a colleague mentioned it, subscriptions nobody has re-examined in two years, and no idea which of the twenty tools in the account is actually being used.

Files that belong to no one

Contracts in a personal Downloads folder, customer records in one person’s inbox, a shared drive nobody has cleaned since it was created. Recovery after a device failure becomes an archaeology project.

Infrastructure that only works standing up

The router under the desk serving the whole office, Wi-Fi that reaches the printer and not the meeting room, and a home connection doing the job of a company one.

How we work

We start with what you already have

Nothing is replaced before it has been looked at. The first step is deliberately unglamorous: we inventory the devices, the accounts and the files, and we write down what is actually being used rather than what was bought.

From that inventory comes a short list of changes, ordered by how much time they save you per month. Some of it will be free. Some of it will be a conversation you need to have with a supplier. All of it will be in writing.

The full process, step by step

  • An honest read on what is already working — including the parts you paid for and never use
  • Software recommendations with the reasoning written down, not a list of what is on sale
  • Cloud migration paced so nothing breaks while it happens
  • Network and Wi-Fi designed for the rooms you actually work in
  • A file and folder structure your team can use without being trained on it
  • Documentation you keep, whether or not you keep working with us

You do not need to work out which category your problem belongs to before calling. Describe the situation and we will tell you which of these it touches — or that it does not need us at all.

  • Online booking and payments
  • Signature and document tools
  • Migration out of a system that no longer fits

  • Contact and customer data tidying
  • Documentation of the whole thing

Ongoing technical support

A number you can call, and someone who already knows your setup.

Common situations

What this looks like in practice

Four situations we are often called about. Each one starts the same way: a conversation, then a written plan, then work at a pace that does not stop the business running.

SME · five to fifty staff

One Microsoft 365 tenant, three companies

A group running three businesses out of one shared tenant needed separation, correct licensing and a file structure per entity. Delivered as a staged migration over four weeks, with the shared drive split and permissions rebuilt rather than reset.

Delivered: tenant split · licensing review · per-entity storage →

Professional services · 8 staff

Client files that belonged to no one

Seven years of contracts, correspondence and case notes spread across four laptops and a shared drive. We mapped what existed, agreed a structure with the team, moved it in stages, and set the naming rules that keep it clean.

Hybrid team · Berlin and remote

Wi-Fi that stopped at the meeting room

A two-floor office with a single router, dead spots in the larger room and a home connection doubling as the backup. Survey, two access points, a separated guest network and a documented setup any staff member can restart.

Delivered: site survey · access points · guest separation →

Sole trader · growing

From personal accounts to a real business setup

A one-person business still running invoicing from a personal inbox and a phone for customer records. Moved onto business accounts with a proper backup routine, a booking and payment link, and a separation that survives a bad week.

Delivered: business accounts · invoicing · backups →
Process

Four steps, no procurement theatre

Conversation

Thirty minutes on what is actually happening, not what you think is happening. No charge, no obligation, and we will say if this is not a problem we should be solving.

Inventory

Devices, accounts, subscriptions and files, listed. This is the point where the real picture usually becomes visible.

Written plan

Every change, what it costs, what it saves, and what we would leave alone. You decide the order — including nothing.

Delivery

Work in stages, with backups before each one and a handover document at the end. Sessions at a pace that keeps the business open.
